The following information is essential for the planning and organising of your booking at Maroon Outdoor Education Centre, and all visiting teachers should read the Information for Visiting Teachers (PDF, 65KB).
Maroon OEC is a Queensland Department of Education school. During your time at the Centre, visiting school teachers work with a MOEC teacher to deliver a program of learning activities for their student group. The MOEC Principal, Deputy Principal and Program Coordinator oversee the total program experience for the students
Understanding your role
As the school coordinator, your job is to prepare your student and staff group for their program at MOEC. By following the Variation to School Routine procedure, you will generally fulfil the department's requirements.
The MOEC Coordinator for your booking will work with you to prepare. They will share an MS OneNote Coordinators Notebook with you to assist in the camp preparation process to fulfil MOEC requirements.
Please ensure that you contact your MOEC coordinator or the Deputy Principal before sending out any paperwork to parents.
You have 2 options for distributing and collecting paperwork:
- Full manual system (printed letter and forms out, back and manual database)
- MOEC digital system (digital MOEC forms out, back and imported into database)
Regardless of the method, you must use our forms as outlined below and distribute the information to parents, collect and sort the MOEC Consent and Medical Information Form and use one of our databases (see Managing Student Information below).
Planning for student information management
As the school coordinator, you will need to follow the Coordinators checklist (PDF, 72KB) to ensure that important planning steps are not missed. In addition, the following documents will aid you in your role and help you to plan for the management of your program, staff and students.

Gathering student information and informed consent
These forms detail the type of activities students may be involved in during their program at Maroon Outdoor Education Centre and the clothing and equipment required.
Distribute these forms to every parent/guardian, along with a covering letter from your school explaining this process: the details of your program, any logistical details, arrangements for payment and transport to and from the Centre.
For attending teachers and adults:
Managing student information
Student information is managed through one of our Maroon Outdoor Education Centre Student Information Programs (a Microsoft Access application).
- Manual database (printed forms sent out and information typed into database)
- Import database (forms sent out, returned digitally and imported from Adobe Acrobat into database)
The program you wish to use will be provided to you by your Maroon Outdoor Education Centre Coordinator or the Deputy Principal. Once installed to a USB via your teacher laptop, the manual program imports student data from OneSchool to save you from manually entering every student. Please use our guide (PDF, 730KB) for assistance in installing and using this program. (If you wish to use the import database, your MOEC coordinator will provide it to you with the guide, and digital forms.)
Once the OneSchool import has been completed, the tool can manage ongoing changes and produce:
- group medical synopsis
- cabin lists
- bus manifests
- group lists
- name badges
- non attendee list.
As the students return their completed forms input the data into the Student Information Program.
You must add a summary of any student's medical, dietary and/or support details as this information is not uploaded from OneSchool.

Sending student information to Maroon Outdoor Education Centre
At least one week prior to your camp, all of the reports in "Step 4" need to be sent. When all details have been entered and you have completed group and cabin allocations use the buttons in ‘Step 4’ of the tool to produce these reports. Save and email reports to your Maroon Outdoor Education Centre Coordinator.
You must bring every attending student's (and adult's) completed consent and medical forms as well as any management forms with you. Please collate in activity groups and in alphabetical order by first name.
It is recommended that in addition to these documents that you also prepare a bus manifest, cabin allocation and name tags. The Student Information Program can produce these documents.
School visits
A Maroon Outdoor Education Centre teacher will be available to visit your school approximately 6 weeks before your camp. Before this visit all teachers attending Maroon Outdoor Education Centre should carefully read the Information for visiting teachers (PDF, 50KB). It contains important information and conditions that are essential to your role as the visiting teacher and/or coordinator.
During this visit, the Maroon OEC teacher can talk to your students, teachers, administration and parents about the possibilities and requirements of the program. After this visit this Maroon Outdoor Education Centre teacher will finalise the design of the program for your group.
